What this tutorial covers
A same-day workflow: connect an inbox → let SparkReceipt fetch and categorize receipts → match to bank lines → publish into Xero. No camera crew. No “AI magic.” Just clicks and a clock.
You will need:
- A SparkReceipt account (Elite features for email fetching are sold on the paid plan; confirm on checkout).
- A Xero organization you are allowed to connect.
- Access to Gmail, Outlook, or another IMAP mailbox that receives vendor receipts.
- About 30–45 minutes for first setup; aim for ~10 minutes in later months once the inbox is connected.
Why operators start with email, not the camera
Most missed deductions for SaaS-heavy businesses are not faded thermal paper. They are PDF invoices and “your receipt from…” messages buried under newsletters. Photographing paper helps. Autofetching the inbox closes the bigger hole.
SparkReceipt’s homepage states you can connect Gmail, Outlook, or IMAP, auto-fetch receipts, run email history extraction, match bank statements, and publish to QuickBooks Online or Xero.
Step 0 — Confirm price and trial before you build process
As of 2026-09-11, SparkReceipt markets Elite. List $199.98/yr; promotional $99.99/yr shown on the homepage as of 2026-09-11 — confirm at checkout. Includes 3 users, unlimited documents, and a 7-day free trial. Extra users $58/year.

Do not write the tool into SOPs until you have finished one successful Xero publish on trial data.
Step 1 — Create the account and set categories (10 minutes)
- Start the trial from the SparkReceipt site.
- Create (or map) expense categories that match how you think — Software, Travel, Meals, Ads, Contractors. You will remap to Xero accounts later; clarity here reduces month-end clicks.
- Invite your bookkeeper as a user if they will review. Elite includes three users on the published plan.
- Turn on any plain-English filing rules you care about (vendor → category) once you see the first batch of extractions.
Minutes: ~10. Clicks: account → categories → invite.
Step 2 — Connect the inbox (5–10 minutes)
- Choose Gmail, Outlook, or IMAP.
- Complete OAuth or IMAP credentials. Prefer OAuth for Gmail/Microsoft when available.
- Limit the first connection to the mailbox that actually receives receipts (often the founder inbox or
billing@). Do not connect five shared boxes on day one. - Start with forward-looking fetch. After you trust accuracy, run history extraction for a bounded window (for example, last 12 months) rather than “all time” on the first pass.
SparkReceipt claims the first 10,000 historical emails are included with Elite for history cleanup — confirm that line still appears in your account UI before you plan a multi-year backfill.
Minutes: 5–10. If OAuth fails, stop and fix mailbox permissions before importing PDFs by hand.
Step 3 — Phone snaps for the paper minority (ongoing, seconds each)
Install the mobile app. At the counter:
- Open the app.
- Snap the receipt before it hits your pocket.
- Confirm merchant/total if the AI asks.
- File and move on.
This is the only part that should feel like a habit change. Everything else is inbox plumbing.
Step 4 — Bank statement matching (month-end, minutes 1–7)
SparkReceipt describes a monthly loop: statement lands → matching starts → you confirm → classify leftovers → publish.
- In the US, connect bank feeds if offered (homepage lists US bank feeds as beta — treat beta as optional).
- Elsewhere (or as backup), upload the monthly PDF/CSV/Excel statement.
- Review proposed matches (amount, date, merchant).
- Flag personal spend and transfers so they never hit the Xero books.
Minutes: often under 10 for a light volume month if the inbox was connected all month. Your volume may differ — time it once and write the number in your close checklist.
Step 5 — Connect Xero and map accounts (15–20 minutes, one-time)
- In SparkReceipt integrations, choose Xero.
- Authorize the correct Xero organization (do not connect the demo org by mistake).
- Map SparkReceipt categories → Xero chart of accounts / tax rates.
- Decide whether receipt images should attach to the bill/spend transaction (prefer yes for audit trail).
- Run a test publish of 3–5 low-risk expenses.
- Open Xero → bank reconciliation / spend money / bills view (depending on how the integration posts) and confirm the five items look right.
- Only then enable ongoing publish.
If mapping is wrong, fix mapping — do not “clean it up later in Xero” every month. That recreates the minutes you bought the tool to remove.
Step 6 — Monthly operating rhythm (target ~10 minutes)
Put this on the close calendar:
| Minute block | Action |
|---|---|
| 1–2 | Confirm statement import / bank feed landed |
| 3–7 | Accept or reject matches; attach missing snaps |
| 8–9 | Classify the 2–3 uncertain lines |
| 10 | Publish to Xero; spot-check five random lines |
If minute 10 regularly expands to an hour, the failure mode is usually (a) inbox not connected, (b) category map drift, or (c) personal cards mixed into the business mailbox. Fix the cause; do not hire more tools.
Failure modes and fixes
| Symptom | Likely cause | Fix |
|---|---|---|
| SaaS invoices missing | Receipts land in a different mailbox | Connect that IMAP/OAuth box or forward vendors to the connected address |
| Duplicates in Xero | Publishing twice or bank feed + SparkReceipt both posting | Pick one system of record for the spend entry |
| Wrong tax rate | Map incomplete | Revisit Xero tax mapping; re-publish corrections carefully |
| Bookkeeper cannot see docs | No user invite | Use one of the included seats |
| Trial ends mid-backfill | Scope too large | Finish forward-looking month first; history second |
What this workflow is not
- Not full AP approval routing (use BILL / Melio / your AP desk for that).
- Not employee reimbursement policy (Expensify-class).
- Not a replacement for Xero bank rules — it feeds cleaner source docs into Xero.
If you later want a Grok Bot roster that stages AP or finance close checklists, that is a different product: https://deskteams.ai. Keep receipt capture and desk setups separate in your SOPs.
Checklist you can paste into Notion / Drive
- [ ] SparkReceipt trial started; price screenshot saved
- [ ] Categories created
- [ ] One inbox connected (OAuth preferred)
- [ ] Phone app installed
- [ ] Xero org authorized
- [ ] Category → account map complete
- [ ] 5 test expenses published and reviewed in Xero
- [ ] Close calendar includes the 10-minute matching block
- [ ] Bookkeeper invited (optional)
Bottom line
Connect the inbox once. Match statements monthly. Publish to Xero with images attached. Time the loop. If it is not faster than your spreadsheet, cancel during trial.
