The job, not the brand

You need fewer missing receipts at month-end and a clean path into the ledger. On the Xero side of the market, two names show up constantly: Hubdoc (the document-capture workflow many Xero shops still know by that brand) and Xero Smart Document Capture (Xero’s current US marketing for snap / forward / upload into Xero). Opposite that sits SparkReceipt, an inbox-history-first AI capture tool with QBO + Xero publish and bank-statement matching.

This page compares those jobs. It is not a Ramp or corporate-card comparison. Pick by workflow, not logo nostalgia.

One-minute chooser

If your real job is… Short-list
Already all-in on Xero and want snap / forward / upload native to the org Hubdoc workflow / Xero Smart Document Capture
Pull deep email history from Gmail/Outlook/IMAP, then publish to QBO and/or Xero SparkReceipt
Match uploaded bank/credit-card statements to receipts as a first-class habit SparkReceipt (as marketed)
Stay inside one Xero login with capture included on small business plans Xero Smart Document Capture
Dual-ledger shop (some clients QBO, some Xero) with one capture habit SparkReceipt

If you are happy inside Xero and volume is modest, test native capture before you add another vendor. If your backlog lives in email history across mixed mailboxes — or you also run QBO entities — short-list SparkReceipt.

Hubdoc / Xero Smart Document Capture

Official Xero US Smart Document Capture page states you can use the feature at no extra cost on Xero small business pricing plans — snap, forward, or upload; AI extract; match to bank; store in Xero. Hubdoc’s brand site remains https://www.hubdoc.com/ as the named bills/receipts workflow many accountants still search for.

Do not budget a standalone Hubdoc dollar figure from memory. Confirm plan inclusion on your Xero subscription and current Hubdoc product packaging on the official pages the week you decide.

When Hubdoc / native Xero capture wins

Choose the Xero-native path when:

  • You are already on Xero and want one login for books + document capture.
  • Volume is modest and snap / forward / upload covers how documents arrive.
  • Your accountant’s firm SOP is Hubdoc/Xero-centric and switching tools creates training cost.
  • You do not need deep Gmail/Outlook history extraction as a productized cleanup.
  • You want capture bundled with the Xero plan you already pay for (per Xero US marketing checked 2026-09-12).

Native is the correct default for many quiet Xero shops. Adding SparkReceipt “because AI” without a failed native test is a wrong buy.

When SparkReceipt wins

Choose SparkReceipt when:

  • The real mess is years or months of email history across Gmail/Outlook/IMAP, not just today’s paper ticket.
  • You need one capture habit that publishes to QBO and Xero (mixed client base or personal dual ledgers).
  • Bank statement PDF/CSV matching is a weekly ritual you want outside (or beside) the ledger UI.
  • You want AI assistant / plain-English filing rules and unlimited-document packaging on Elite (as marketed).
  • You already tried native forward/snap and still lose SaaS invoices buried in mail.

Honest framing: Hubdoc/Xero capture is native for Xero shops; SparkReceipt is inbox-history-first AI capture across mailboxes with QBO+Xero and statement matching — pick by job, not brand loyalty.

Wrong buys

  • Buying SparkReceipt when you only needed to turn on Xero Smart Document Capture and train the owner to forward bills.
  • Staying native-only when email history is the entire missing-document problem and nobody will forward forever.
  • Comparing either tool to Ramp / corporate cards — different job (spend control vs document capture).
  • Expecting either tool to replace AP bill-pay approvals (Melio/BILL) or construction ERP job costing.
  • Inventing a Hubdoc monthly price from an old blog post — confirm on official pages today.

Practical trial plan (same week)

  1. Native baseline (30–45 min): enable or revisit Xero Smart Document Capture; snap one receipt; forward one supplier PDF; match one bank line inside Xero.
  2. SparkReceipt trial (45–60 min): connect the noisiest inbox; extract a 30-day history window; publish one document to a sandbox or low-risk account; upload one statement and match five lines.
  3. Decide on evidence: which path produced fewer missing docs with less nagging? Keep that. Cancel the other before habits harden.
